Creating a new deviation
Click ➕ Create deviation. You will find the button in the following places:
- directly on a KPI
- on a task in the task board
- on a process activity in the process board
- on the home page
- in the team's deviation list
The form for the new deviation opens.
Entering title, category, and description
- Enter a short, unambiguous title.
- Select a category. ✨ Tip: Use the categories consistently within the team. They are the basis for the evaluation in the Pareto chart by frequency or duration.
- In the Description field, describe what happened – factually and in a way that colleagues who were not there can follow.
Source: assigning a deviation to an object
Below the description is the Source section with the fields Team, Object type, and Object element. Here you define what the deviation is attached to: a KPI, a list entry, a task, or a process board.
- If you create the deviation from a KPI, task, or process activity, the object type and object element are already pre-filled. Check the entries.
- If you create the deviation on the home page or in the deviation list, select the object type and object element yourself – or leave the object type set to None if the deviation is to be assigned to the team only.

ℹ️ Note: As soon as an object type is selected, the object element is a mandatory field. The link can also be changed later at any time.
ℹ️ Note: The Source section is available as of version 26.2.1 and replaces the previous Source field under the additional information. - Add the additional information if required and click Save.
Finding a deviation again
You can reach a saved deviation via:
- the deviation list in the team's deviation management
- the linked element, for example the deviation list of the KPI or the task
- your home page, provided the deviation is assigned to you
✨ Tip: In the deviation list, use the quick filters Active, Without action, and Closed to get to the relevant entries quickly.
ℹ️ Note: If you steer a project via a process board, you can also display the deviations from linked sub-processes and tasks in a process card.
Editing a deviation
- Click on the deviation to open it in focus or edit mode.
- Adjust the title, category, description, source, or additional information.
- Click Save.
⚠️ Attention: The jump link next to the object element opens the linked element and closes the deviation in the process. Save your changes before clicking it.
Assigning actions
- Open the deviation and switch to the Actions tab.
- Create a new action or link an existing one.
- Enter a title, the person responsible, and a due date.
ℹ️ Note: You can merge several thematically related deviations into one parent deviation.
✨ Tips & Best Practices- Clear titles: Word the title so that the deviation is understandable in the list without opening it, e.g. "Machine 3: 45 min downtime, tool breakage".
- Use categories consistently: Only consistent categories deliver reliable results in the Pareto chart.
- Maintain the source: A linked deviation appears in the deviation management of the KPI or task and can be assessed there in context.
- Deviation plus immediate action: For known errors, the combination of a deviation and a direct corrective action is the fastest route. For unclear causes, the A3 report is recommended.
When is there a deviation? Whenever a KPI, a task, or a project deviates from the target state.
What is the difference between an error and a problem? With an error, the solution is known – a direct action is sufficient. With a problem, the cause and the solution are unclear – here an A3 analysis is recommended.
Where do I see all open deviations of my team? In the team's deviation management in the deviation list, filtered by Active.
Can I assign a deviation to a different KPI or task later? Yes. In edit mode, change the object type and the object element in the Source section. Details and exceptions can be found in the article 🔗 Linking a deviation to a KPI, task, list, or process.
Who is allowed to create and edit deviations? Team members with write permissions in the respective team. Members with read permissions can see deviations but cannot change them.
