Role Permissions
System Administrator 🔧 Full system rights: manage users, teams, KPIs, lists
📂 Access to all teams (including private ones)
User 📖 Read rights for public teams
✍️ Write rights in own teams
🚫 No read/write rights for private teams they are not a member of
External 📖 Read rights for teams they are a member of
✍️ Write rights for teams they are a member of
🚫 No read/write rights for other teams

Team Administrator 🧭 All rights of a team member

Team Member 📖 Read & ✍️ Write rights in own team
Guest 📖 Read & ✍️ Write rights in own team
🚫 Not shown in attendance list, cannot be assigned tasks, measures, etc. in that team
 

🌐 Public vs. Private Teams

Public Teams 📢 Visible to all users
📖 Read rights for all users (except external users)
✍️ Write rights for team members
Private Teams 📖 Read rights for team members
✍️ Write rights for team members
👤 No access for outsiders – ideal for HR, strategy, etc.

  • Write permissions always depend on team membership.

  • External users have no access outside their assigned teams.

  • Role assignments are made in the Members tab in the team or user profile.

  • Role changes take effect immediately.

FAQ

What happens if a user is not in the team?
→ They see public content but cannot edit it; no visibility for private teams.

Can roles be changed later?
→ Yes, anytime in the team profile under “Members” or in the user profile.

What can guests see?
→ Usually nothing—only if explicitly granted access, then read-only.

Do external users have access to other teams?
→ No, only to the teams they are assigned to.
