✏️ Editing Process Labels

This article explains how system administrators can manage and edit labels for process cards. Process labels visually mark processes with icons and text — for example, “Blocked,” “Business Trip,” “Support Needed.”

How it works

  1. Open the system settings via the ⚙️ gear icon at the top right.

  2. Navigate to Processes → Labels.

  3. In the Labels (Processes) table, all available labels for process activities are displayed.

  4. Click a label entry → an editing overlay opens.

  5. Edit the multilingual label name.

  6. Click Save to apply changes, or Cancel to exit without saving.

🖍️ Fields & properties in the overlay

Field Description
🖼️ Icon Graphic icon displayed on the process card
🏷️ Label name Required in multiple languages (highlighted in red if empty)
 

🛑 Locked & deactivated labels

Type Meaning
🔒 Locked System-protected. Cannot be disabled or renamed.
🚫 Deactivated No longer available in the label selection on a process board for a team administrator.
 

✅ Deactivate or reactivate labels via the button in the toolbar above the table.


🧭 Sorting & display

The Labels (Processes) table is sorted as follows:

  1. Status → Active labels first, then deactivated.

  2. Label name → Alphabetical (A–Z).

Deactivated labels appear greyed out.


Tips & Best Practices
💡 Best Practice: Choose icons with clear visual meaning, e.g., red exclamation mark = warning, magnifying glass = analysis.
⚠️ Avoid too many icons — they lose their impact.
✨ Regularly review label usage and deactivate unused labels to keep the selection clean.


FAQ
Can labels be changed afterwards?
→ Yes, unless they are locked — in that case, the edit dialog is read-only.

What happens with deactivated labels?
→ They are no longer selectable but remain on existing processes.

Who can edit process labels?
→ Only users with system administrator rights.
