👥 Managing Team Memberships

This article explains how to manage team memberships for users in ValueStreamer, including assigning teams, setting roles within each team, and selecting a home team.

🛠️ How it works

  1. Click the ⚙️ gear icon in the top right to open System Settings.

  2. In the sidebar, go to User Management.

  3. Find the desired user and click their name to open the profile.

  4. Switch to the Memberships tab.

  5. From here, you can:

    • ➕ Add new teams via the + icon

    • 🎚️ Set the user’s role in the team

    • 💾 Save with Apply Changes



🧑‍💼 Roles in the team

Role Description
👤 Team Member Standard role with read and write access
🛠️ Team Admin Additional rights to manage team data and views
👀 Guest Limited access, not visible on boards or lists, but with some write permissions
🚫 Non-Member Read-only access, cannot actively participate in tasks
 

ℹ️ Guests are useful for temporary access, e.g., for external consultants or training purposes, and for managers who need to maintain KPIs in sub-teams.

  • ✔️ Every user must belong to at least one team.

  • 🏠 Each user can have only one home team.

  • 🔄 Users can belong to multiple teams at the same time.

  • 📌 Team memberships affect where tasks can be assigned.

  • ⚡ Changes take effect immediately on boards, visibility, and filters.


Tips & Best Practices

💡 Best Practice: Use clear team names (e.g., DE_Sales_Central) to maintain clarity in large tenants.
⚠️ Warning: If no home team is set, display issues may occur in the profile or capacity planning.
Tip: Set the home team strategically when a user belongs to multiple teams—it controls standard capacity and display defaults.


FAQ

Can a user belong to multiple teams?
→ Yes, there is no limit to memberships—but only one home team is allowed.

What happens if a user has no team?
→ They won’t appear on boards and cannot be assigned tasks.

What does “Guest” mean exactly?
→ Guests can’t see all content but may have write permissions in specific cases (e.g., commenting, participation).
