🧭 Filtering and Sorting in the Process Board

This article explains how to efficiently filter and sort process activities in the process board – both temporarily for your current session and permanently via the settings. This helps you quickly find relevant information, stay on top of things, and optimize your workflow.

🛠️ Filtering process activities

Using the quick filter in the board (temporary only):

  • In the process board, click the quick filter icon in the top right.

  • Select your desired filter criteria:

    • Responsible person

    • Status (Red, Yellow, Green)

    • End date

    • Category

  • Multiple selections are possible.

Important:
These filters apply only to the current session. They are reset after reloading the page or logging out.


🗂️ Sorting process activities

Quick sorting in the board (temporary only):

  • Next to the filter icon, click the sort icon.

  • Choose the sort criterion:

    • Title

    • End date

    • Responsible person

    • Status

  • Set the order:

    • Ascending or descending

Note:
Quick sorting is also only active temporarily and will reset when the page is refreshed.


🛠️ Setting a permanent sort order in the process board
If you want to set the sort order permanently, follow these steps:

  • In the board title, click the small arrow and select “Settings”.

  • In the “General” tab, find the “Default sorting logic” section.

  • Set a sorting order using up to three criteria (e.g., 1. Priority, 2. End date, 3. Status).

  • Save your changes – these will then apply permanently for all users of this process board.


🖥️ Adjusting display settings

Collapse process activities: In compact view, you only see the activity status via color codes:

  • 🔴 Red: Critical status

  • 🟡 Yellow: Attention required

  • 🟢 Green: On track

Expand process activities: Click an activity to view details such as:

  • Activity end date

  • Current phase end date

  • Responsible person

  • Form ID

  • Title

  • Overview of open and completed items

  • 📚 Combine filters and sorting intentionally to optimize your working view.

  • 🔄 Use permanent sorting for a standardized team view; quick filters for fast, individual analysis.

  • 🎯 Pay close attention to the color codes for quick status assessments.

Can I apply multiple filters at the same time?
✅ Yes, multiple criteria can be combined.

Are my filter settings saved?
❌ Quick filters and quick sorting apply only to the current session.
✅ Permanent sorting can be set in the process board settings.

Why don’t I see any activities even though I’ve set filters?
➡️ There may be no process activities matching the selected criteria. Check your filter settings.
