🧾 Editing Task Labels & Categories

System administrators in ValueStreamer can edit, deactivate, or manage both task labels and task categories. Both elements support the visual structuring and filtering of tasks on the board.

✏️ Edit task labels

  1. Click the ⚙️ gear icon (top right).

  2. Go to Tasks → Labels.

  3. In the Labels (Processes) table, you’ll see all available labels for tasks.

  4. Click a label entry → the edit overlay opens.

  5. Edit the label name in multiple languages.

  6. Click Save to apply changes or Cancel to discard them.

🖍️ Fields & properties (Labels)

Field Description
🖼️ Icon Visual representation shown directly on the task card
🏷️ Name Required in multiple languages
🔒 Locked System labels like “T-Card” – cannot be edited or deactivated
🚫 Deactivated Not selectable for the team administrator on the team’s task board
 

Sorting:

  1. By status (active first, then deactivated)

  2. Alphabetically by name


🗂️ Edit task categories

  1. Click the ⚙️ gear icon.

  2. Navigate to Tasks → Categories.

  3. Click a row in the Task Categories table.

  4. The edit overlay will open.

Editable fields:

  • 🏷️ Name in multiple languages

  • 🌐 “Global” checkbox for system-wide definition

🎨 Colors & global categories

  • Colors define the background color of the category on cards, dropdowns, and filters.

  • Supported:

    • Solid colors

    • Hatched colors (e.g., Yellow + Light Yellow)

  • Global categories have the same name in all teams → ensures comparability between task boards.

  • Only system admins can edit the name of global categories.

  • Locked categories (e.g., “Standard,” “Problem Solving”) are system-defined and cannot be edited.

ℹ️ Notes

  • Labels and categories influence visual presentation and filter logic.

  • Required fields (e.g., name) are highlighted in red if empty.

  • Multi-language search is possible (starts after 2 characters).

  • Categories and labels activated or deactivated in system administration can be further activated or deactivated by team administrators in each team.


Tips & Best Practices
💡 Choose clear, descriptive names for better filtering and understanding.
⚠️ Avoid redundancy – too many similar labels or categories dilute meaning.
🌍 Maintain translations during creation – especially for international rollouts.
🔒 Locked labels and categories cannot be disabled – plan accordingly.


FAQ
Can I delete labels?
→ No, only deactivate them – they remain visible in archived tasks.

How do I identify global categories?
→ Via the “Global” checkbox – only system admins can manage these.

Why is a field greyed out?
→ It’s a locked system label or category.

What happens with deactivated categories?
→ They can no longer be used by team members or team admins.
